How to Evaluate, Select, and Switch IT Service Providers Without Downtime

Switching Managed Service Providers (MSPs) or partnering with an IT support firm for the first time is one of the most critical operational decisions a business leader will make. Technology is no longer just a utility—it is the digital backbone of your organization. The right MSP protects your revenue, enforces regulatory compliance, and accelerates employee productivity. The wrong provider leaves you vulnerable to cyber threats, unbudgeted expenses, and chronic operational friction.

This comprehensive checklist and roadmap walks you through the entire lifecycle of evaluating, selecting, and transitioning to a new Managed Service Provider with zero business disruption.

Part 1: Assessing Your Organization’s True IT Needs

Before contacting IT service providers, evaluate your internal baseline. MSPs offer varying support tiers—from co-managed models that augment existing IT staff to fully outsourced infrastructure management.

Internal Needs & Inventory Baseline Checklist

Part 2: The MSP Evaluation Checklist

When evaluating potential MSP partners, look past generic marketing claims. Use this checklist during discovery calls and proposal reviews to test a provider’s operational maturity.

1. Service Level Agreements (SLAs) & Responsiveness

2. Cybersecurity & Risk Management Integration

3. Pricing Transparency & Financial Predictability

4. Strategic Account Management & Partnership

5. Contractual Protections & Master Services Agreement (MSA) Terms

Part 3: The 10 Essential Questions to Ask Every MSP

Use these exact questions during candidate interviews to separate true strategic partners from reactive break-fix providers.

  1. “What is your average first-contact resolution rate, and what happens when an issue needs to be escalated?”
  2. “How do you handle backup validation, and how quickly can you recover our systems in a worst-case ransomware scenario?”
  3. “Is cybersecurity built into your baseline managed service package, or is it an add-on cost?”
  4. “Can you walk us through your structured onboarding process step-by-step?”
  5. “How do you manage compliance requirements specific to our industry?”
  6. “What tools and agent software will be installed on our devices?”
  7. “Who will be our primary point of contact for strategic planning and account management?”
  8. “How do you track and report network health, ticket volumes, and system uptime to leadership?”
  9. “What is your policy regarding client data ownership, passwords, and administrative documentation?”
  10. “Can you provide three client references in our industry or geographical region?”

Part 4: Step-by-Step MSP Onboarding & Transition Checklist

A smooth transition relies on organized communication and systematic data collection. Follow this 60-day checklist to ensure a seamless handoff from your outgoing provider or internal setup to your new MSP.

Phase 1: Offboarding & Documentation Retrieval (Days 1–15)

Phase 2: System Discovery & Security Baseline (Days 16–30)

Phase 3: Team Communication & Training (Days 31–45)

Phase 4: Full Cutover & Go-Live (Days 46–60)

Transitioning with Confidence

Switching IT providers doesn’t have to mean downtime, lost data, or operational chaos. By following a structured onboarding plan, you establish a secure foundation that frees your leadership team to focus on core business growth while real IT experts manage the rest.

The computer does not boot properly, headsets not connecting, microphones stop working, login screen locks and takes multiple reboots to get past it. These are nothing for LeafTech to handle. With IT staff like Franz the interaction and outcomes are always top notch. Most of the time when my help ticket is taken by someone, it ends up being Franz. His knowledge and conversational approach to some interesting challenges presented to him makes the experience top notch. It is as if you called your friend who happens to be in IT to help you. It is always a wonderful experience with tech support.

My husband‘s firm retains LeafTech as its IT consulting firm. I came up with a problem when I purchased a new iPhone. It seemed insurmountable. My Google calendar would not transfer to the new phone. I had access to all other Google functions. Apple wouldn’t talk to me because it was a third-party issue. Google wouldn’t talk to me because apparently no human being works there. I had been without a calendar for a week and a half on my phone, but I could access it on my computer. In the process of trying to resolve this problem, which really was not theirs, Jacques and two other techs at LeafTtech discovered issues that no one else had found. Jacques and LeafTech were more determined, professional, and pleasant to deal with in a very difficult process than any tech-support group I have ever dealt with. The most amazing thing was that when another person came in to help, he picked up right where the previous one left off without my having to re-explain everything. I have no idea how they did that! Truly amazing. Thank you so much! My sanity has been restored!! (Well, at least the calendar has👍)

Jacques with Leaftechit was a Godsend today. I missed his initial call back and he followed up as he said he would. He helped me with setting up my new laptop. He not only solved the original issue that I contacted them for but he also helped me with another one in connecting my laptop to our printer. I really appreciated the ability for them to remote into my computer, talk me through things and still remain calm, professional and patient throughout the process, which he carried out with amazing efficiency and skill. Highly recommend!

Not all heroes wear capes... but they do wear the LeafTech logo! These folks always go above and beyond to save the day! There hasn't been an issue that they cannot solve and they are simply just the nicest humans! They make my job so much easier by making sure technology is never my issue - or at least it's never an issue after they get their hands on it! Thanks LeafTech, couldn't recommend you more!!!

I recently attended an AI training through LeafTech Consulting, and Jacob did an excellent job of delivering the information in a concise and digestible manner. It was a pleasure to work with him, and I look forward to additional trainings in the future.

Our company has been working with LeafTech to implement Microsoft Copilot, and we’ve had a generally positive experience throughout this specific project. LeafTech demonstrated flexibility in adapting the rollout to our pace and comfort level. They allowed us to test the tool internally before committing to additional paid licenses, which gave us time to explore its capabilities and understand how it could best serve our workflows3. Their willingness to treat our team as a pilot group—without charging a separate project fee—was appreciated and helped us move forward with confidence. We also found their team responsive and generous with their time. They addressed our questions around licensing, data protection, and functionality, and continue to provide hands-on support during training sessions and screen shares. A special thanks to Jacob Baughn, who has been consistently helpful and communicative throughout the process.
